JOB DESCRIPTION:
The Project Manager is responsible for managing and coordinating project acquisition, execution, documentation, and technical support activities for industrial automation, instrumentation, control systems, and water/wastewater projects. This role requires effective coordination with clients, vendors, engineering teams, and internal departments to ensure projects are delivered in accordance with technical specifications, project schedules, quality standards, and client requirements.
The ideal candidate will possess strong organizational, technical, and leadership skills with the ability to manage multiple projects simultaneously in a fast-paced environment.
THE ROLE:
Project Acquisition & Tender Management
• Review and download tender documents from Bids & Tender platforms and other client procurement portals.
• Establish and maintain organized project-specific folders for all new inquiries and tender opportunities.
• Review Tender Due reports in Zoho CRM and prioritize document extraction activities based on submission timelines.
• Extract, review, and organize tender-related documentation including specifications, drawings, P&IDs, panel drawings, PCN documentation, and I/O lists.
• Maintain accurate and structured documentation within internal project management and cloud storage systems.
• Prepare Instrumentation Bills of Materials (BOM) based on project specifications, P&IDs, and engineering drawings.
• Coordinate with vendors to obtain quotations and maintain proper records of vendor communications and pricing documentation.
Project Execution & Coordination
• Transition awarded projects from tender stage to project execution while ensuring proper documentation and project setup.
• Prepare, maintain, and update project tracking documentation and instrumentation/control panel records.
• Coordinate the preparation and submission of shop drawings for client review and approval.
• Manage client review cycles, document revisions, and comment resolution processes.
• Maintain organized records of client communications, approvals, and project correspondence.
• Prepare and update approved part number documentation to support procurement and vendor ordering activities.
• Monitor project progress and maintain project status documentation and reporting files.
• Coordinate Factory Acceptance Test (FAT) and Site Acceptance Test (SAT) documentation, including SCADA screens, I/O lists, and related technical documents.
• Follow up with clients regarding pending approvals, RFIs, submittals, and project-related deliverables.
• Collaborate with Control Panel Design, Programming, Procurement, and Engineering teams to ensure successful project execution.
• Prepare and submit Requests for Information (RFIs) related to instrumentation, control systems, programming, and technical clarifications.
• Prepare and manage Change Order Requests (CORs) for additional scope requirements, revisions, and specification changes.
Team Leadership & Technical Support
• Review technical and project documentation prepared by project coordinators, document engineers, and support staff to ensure accuracy and compliance with project requirements.
• Provide guidance and technical support to project coordinators and engineering teams during preparation of shop drawings, FAT/SAT documentation, and project deliverables.
• Support engineering teams with instrumentation and control panel-related technical coordination.
• Assign project-related tasks to team members and monitor progress to ensure timely completion of deliverables.
• Provide project updates, team feedback, and progress reports to senior management.
• Participate in recruitment activities including resume screening, candidate evaluations, and interviews for project coordination and engineering support roles.
• Foster effective communication and collaboration across departments to support project success and operational efficiency.
WHAT WE ARE LOOKING FOR:
• Bachelor’s degree in Engineering, Electrical Engineering, Instrumentation, Automation, Project Management, or a related discipline.
• Minimum 3 years experience in project coordination, industrial automation, instrumentation, or control systems projects preferred.
• Strong understanding of instrumentation systems, control panels, P&IDs, SCADA systems, and technical project documentation.
• Proficiency in Microsoft Office Suite, Zoho CRM, and document management systems.
• Excellent organizational, communication, and multitasking skills.
• Strong analytical, problem-solving, and coordination abilities.
• Ability to manage multiple projects and meet strict deadlines in a dynamic work environment.
• Experience with water and wastewater projects is considered an asset.
